Releasing a Version

A version is released through the Document Release Process dialog, opened from the Request Approval command on the saved version.

The dialog follows the same stages and has a Document Roles panel on the left, listing the Authors, Reviewers, Approvers, and Target Audience, with the Release Request, Approval, and Release sections on the right.

How to Start a Release

  1. Open the version and select Request Approval to open the Document Release Process (stage Document Created).

  2. In the Release Request section, review the automatically filled Title (the system fills this in from the document name and version) and note whether Review Required is Yes or No.

  3. In Message, enter a brief description of the release: its purpose, key changes, and any context for approvers. This message is included in the email notification and the request details.

  4. Select Start Release. The system confirms with "Approval request created."

How to Approve or Reject a Release

  1. Open the document in release (stage Approved) and expand the Approval section, which shows the Approval Status (initially Approval Pending), Approved On, and Approved By.

  2. Add an Approval Comment if required.

  3. Select an action:

    • Approve
      Proceed to signing (below)

    • Reject
      Reject the document. A rejected document cannot be resubmitted; it requires a new version (see Document Approvals).

    • Cancel Release Cancel the release in progress.

  4. When approving, confirm the attestation ("I, [name], approve this document… I understand I am accountable for this electronic signature and have not shared my credentials."), enter your Signature PIN, and select Approve and Sign.

After signing, the process advances to Release Plan And Training, where the release is planned and training is assigned (see Training Assignment), and finally to Released.

How to Plan a Release

  1. At the Release Plan And Training stage, expand the Release section to set the dates.

  2. Set the Effective Date (the date from which the version applies) and the Next Review Date. The Last Review Date and Criticality Index are shown alongside, while Released, Released By, and Released On remain read only until release.

  3. Select Save & Close to schedule the release for the effective date, or Release Document Immediately to release at once.
