Subcategories

Subcategories are a second level of organization that sits beneath a category. They let you file records more precisely within a category. For example, a category might hold two subcategories that separate one kind of record from another.

How Subcategories Relate to Categories

Every subcategory belongs to exactly one category. Because of this, when you file a record, the subcategory field stays unavailable until you have chosen a category. Once a category is selected, you can then choose one of its subcategories.

Creating a Subcategory

Under QMS Records, select Subcategories. You can create a new one with New, or add one directly from a category using New Record Subcategory.

Choose the parent Record Category. If the lookup looks empty, press Enter to browse the full list.

Enter the Number and Name, then select Save.

The new subcategory then appears in the subcategories list.

Note: If a lookup field looks empty when you click into it, it is not necessarily empty. Type to search, or press Enter to browse the full list of available options.

Managing Subcategories From The List

The subcategory list works the same way as the category list. Its toolbar offers New, Edit, Activate, Deactivate, and Delete, which behave as described on the Categories page.

A few things are specific to subcategories. The list shows each subcategory's parent Record Category alongside its Number and Name, and opening a subcategory shows the records filed under it. The view selector offers Active Records Subcategories (the default), Inactive Records Subcategories, and an additional Subcategory Category View.
