The Overview is the single place to see where training stands across the whole system and to close any gaps without leaving the screen. It reads across every document that requires training and every user, and shows not only what has been assigned, completed, or gone overdue, but also what is still missing; required but not yet assigned to anyone.

From here you can assign trainings, adjust due dates, and remind people directly. Open it from Training > Overview.

  • Overall completion
    The overall completion rate (for example, 17%, 8 of 46 trainings done).

  • Overdue trainings
    The number overdue, with Due soon and Pending counts.

  • Documents requiring training
    The total, broken down into effective / approved / obsolete.

  • Active users
    The number of users and the roles they span.

Below the cards, training can be viewed two ways: on the Documents and Users tabs, with two charts alongside: Training progress (Completed / Pending / Due soon / Overdue) and Completion by role.

Documents tab

Rows are grouped by document category (01 Management, 02 Documents & Records, and so on), expand a category to see the document versions within it.

The columns are Trainings Completed (completed of assigned), Assigned Trainings, Overdue, Due soon, Effective Date, and Completion %. Assigned Trainings is the improved coverage measure: it compares the distinct trainings actually assigned against those the document should have.

A green tick means all are in place; a warning icon with a fraction (for example, 33/36) means some distinct trainings are still missing (required but not yet assigned to anyone). Filter with the Search documents box and the Type and status menus.

Users tab

One row per user, showing their Roles, Trainings Total, Trainings Assigned, Completed, Overdue, Due soon, Pending, and Completion %. Trainings Assigned carries the same coverage flag as on the Documents tab, a tick when the user has every training they should, or a warning fraction (for example, 1/4) when some are missing. Search by user or filter by role.

Opening a Document's Training

Selecting a document opens its training details: the training version assigned to that document, shown in the context of that document version, so its Effective date drives the due dates, and the overdue and missing figures are all read against it. The header shows the document (with its status, type, and category) and the training version (with its type and status); the cards summarise Assigned, Completed, Overdue, Missing, and the Effective date. Two sub-tabs, Users and Missing, let you act on it in place.

The Users sub-tab lists everyone the training is assigned to, with Assigned On, Completed On, an editable Due Date, Status, Roles, and Last Notified. The Roles shown are the roles through which the user falls into this document version's Target Audience. From here you can adjust a Due Date inline, or tick several users and use Set Due Date to change them together; Notify a single user who has not yet completed the training, or Send reminders to prompt everyone; and Add User Training to assign the training to any user who is not already assigned or part of the target audience.

The Missing sub-tab lists the users who should be trained on this document but are not yet assigned. Each row's Roles show the basis on which the user should be trained, the role membership or individual assignment that places them in the target audience. Use Assign Training on a row, Assign all missing trainings to cover them in one step, or Send reminders.

Opening a User's Training

Selecting a user on the Users tab opens their details the other way round: the trainings that user has assigned, where you can manage due dates and notify them to complete outstanding training. You can also add any trainings the user is missing, those they should hold based on the Target Audience of the QMS Documents that apply to them.

Training Notifications

Notify and Send reminders send the user a training notification. It includes the training name, the due date, the date it was assigned, and the related approved and effective documents, together with a link to the Dashboard where the training is completed.

How to Complete a Training (When Assigned to You)

Assigned trainings appear under My Trainings on your Dashboard, each with its due date, status, and a Complete action.

  1. On the Dashboard, open My Trainings and select the training.

  2. Read the document.

  3. Either confirm Read & Understood or answer the questionnaire, depending on configuration.

  4. Enter your Signature PIN to complete it.
