Working Statuses

Every document version carries two distinct kinds of status:

  • Document status
    Controlled by the system and set automatically by the approval process (for example, advancing to Approved or Effective). It cannot be changed manually.

  • Working status
    User controlled. It is not governed by the system, so you can set and change it at any time to indicate a document's working state (the states your team uses day to day).

Because a working status is purely a label, it has no effect on the release and approval lifecycle; it exists so you can track your own workflow without touching the controlled document status.

You can also create your own working statuses, each with a Status Name and a Color. Once created, a working status can be set on a version (where it appears as a column) and is also shown for master documents.

How to Create a Working Status

  1. In the left navigation, under Settings, select Working Statuses.

  2. Select New.

  3. Enter the Status Name and set the Color.

  4. Select Save.

How to Set a Working Status on a Document Version

  1. Open the document version.

  2. Set the Working Status field as required.

  3. Select Save. The status then appears in the working-status column for the version and the master document.
